Facilities Coordinator
We are seeking a proactive, detail-oriented Facilities Coordinator to support the day-to-day operations and maintenance of our facilities. This role is essential in ensuring our work environment is safe, functional, and efficient, supporting employee productivity and satisfaction.
The ideal candidate will have a strong background in facilities management or office administration, excellent organizational skills, and the ability to coordinate multiple tasks in a dynamic, fast-paced environment.
Responsibilities
- Serve as the first point of contact for all facilities-related inquiries, service requests, and vendor coordination.
- Manage work order system and ensure timely resolution of maintenance and repair issues.
- Oversee building operations including HVAC, lighting, janitorial, security, and office equipment.
- Coordinate with external vendors and service providers to ensure quality and timely service.
- Maintain facility records including service logs, safety inspections, floor plans, and maintenance schedules.
- Support space planning, office moves, and furniture installations.
- Monitor and replenish office and facility supplies; manage inventory and purchasing as needed.
- Assist in ensuring compliance with safety, health, and environmental regulations.
- Participate in emergency preparedness planning and response, including fire drills and safety training.
- Provide administrative support to the Facilities Manager and contribute to departmental projects.
Basic Qualifications
- High school diploma or GED; associate degree or equivalent experience preferred.
- 2+ years of experience in facilities coordination, office management, or related field.
- Strong communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience with CMMS or facilities software a plus.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Knowledge of basic building systems (HVAC, electrical, plumbing) is a plus.

Capable of tactfully managing relationships with stakeholders to achieve company-desired outcomes without compromising relationships. Emails, IMs and verbal interactions are logical, drive clarity, and detailed enough to eliminate ambiguity.
