Your responsibilities as Senior Workplace Associate would be:

  • Be the primary contact for our European HQ in Amsterdam, and provide support for our other European locations when needed (our workplace team will be there to assist you).
  • Ensure our office runs smoothly and efficiently by managing expenses and overseeing the quality of our supplies and services incl. the culinary program.
  • Be the welcoming point of contact and solution-provider for visitors and callers and any workplace requests or feedback, whether submitted via Jira or in person.
  • Collaborate with our Real Estate Leader and other business leaders on setting up and opening new office locations.
  • Devise and lead engaging strategies and events that keep our Flexport team connected and thriving within our culture.
  • Liaise with building management to ensure our offices operate in compliance with building rules and regulations.
  • Lead various workplace-related projects ensuring they are delivered within budget, timeline, and to high-quality standards.
  • Oversee space planning efforts and manage all internal office relocations.
  • Effectively prioritise and manage your time, actions, and projects to achieve outstanding results.
  • Maintain a safe and secure office environment through monthly audits and by ensuring our team upholds a high standard of security.
  • Monitor progress and adjust efforts as needed to ensure goals are consistently met.
  • Coordinate internal communications and events, ensuring everyone feels informed and connected.
  • Cultivate strong relationships with all our vendors, managing everything from selection to payments for our facilities and office needs.
  • Work closely with our People and IT team on various projects and day-to-day tasks.
  • Potentially progress into a role managing a team across multiple sites, with ample assignments and development opportunities to maximise our team's potential.

Requirements:

  • A BS/BA degree is and/or comparable experience required
  • 3+ years of experience in workplace management across multiple-sites in a high-growth environment, experience in setting up new offices preferred
  • A demonstrated ability to lead and build trusting, collaborative relationships and alliances within a matrix, internal and external organization
  • Proven SLA in providing customers with desired products, services, and experiences that builds their trust and confidence
  • Capable of planning for and ensuring others have the information, resources, implementation time, and staffing needed to accomplish business initiatives
  • Proficiency in conveying a sense of urgency in ways that motivate others to complete responsibilities and achieve goals
  • Demonstrated creativity and strength in the face of change, obstacles, or adversity
  • Proven excellence in communication and contract negotiation skills
  • Demonstrated success in hiring and employee development (for example, selection, development, performance evaluation) to effectively drive performance and desired results throughout your team
  • Demonstrated knowledge of building systems and facilities management.
  • Natural leaders in seeking exposure to new ideas and perspectives, identifying and taking steps to improve adaptability and continuous learning capabilities in own organization
